Developing an Asset Management Plan (AMAF Attestation)

Background:

Melbourne Polytechnic (MP) offers the perfect combination of higher education and vocational



learning, delivered by teachers with real-world experience and expertise.


Through a network of six metropolitan campuses and a regional campus in Ararat, Melbourne

Polytechnic offers a range of degrees, certificates and diplomas across the whole higher education and vocational training spectrum.



Melbourne Polytechnic has been delivering vocational training since 1912 and is one of the

largest providers in Victoria with services offered via six campuses.






Challenges:

Melbourne Polytechnic identified the urgent need to develop an ICT Asset Management Plan (AMP) that enabled them to comply with the standards detailed in the Victorian Government Asset

Management Accountability Framework (AMAF).


The AMP needed to support and provide a “line of sight,” to Melbourne Polytechnic’s Digital and

Asset Management Strategies, Organisational Goals and Vision by providing a longer-term plan

to maintain an up-to-date ICT asset base.


They needed a partner that could provide experienced and qualified ICT asset management

services to construct an ICT Asset Management Plan and processes as instructed by the Director

of ICT.


Engagement and Outcomes:

After a thorough RFQ process Melbourne Polytechnic engaged Millennium Insights to perform

the following Asset Lifecycle Management Services:

  • Produce an ICT Asset Lifecycle Management Plan.

  • Evaluate the compliance with the Asset Management Accountability Framework

  • (AMAF).

  • Document the ICT’s Asset Lifecycle Management tracking and notification process.

Our Approach:

Reviewed the current state of IT Asset Management at Melbourne Polytechnic Assessed the maturity of ICT Asset management practices against AMAF mandatory requirements.


  • Conducted a GAP Analysis and developed a roadmap of recommendations required to become fully compliant with the AMAF.

  • The recommendations were prioritised based on the importance and capacity for change.

  • Delivered a Strategic Asset Management Plan coupled with individual Software and Hardware Plans in line with the current Asset Management Strategy.

  • A Software Asset Management Plan (AMP)

  • A Hardware Asset Management Plan (AMP)

  • Compliance Attestation Checklist

  • AMAF Compliance Tool – MP ICT Assessment 2021

  • Completed a Maturity Assessment

Conclusion:

The delivered documents inform Melbourne Polytechnic of their future Compliance

Assurance activities.

  • They assist Melbourne Polytechnic to measure the robustness of their processes for planning, monitoring and managing ICT assets while meeting AMAF’s mandatory requirements.

  • They will support future maturity assessments and ensure processes are followed and appropriate controls are in place to maintain compliance.

  • Finally, Melbourne Polytechnic will use the Plans to form the basis of evidence for undertaking annual attestations and developing a plan for improvement.
